This Privacy Policy explains what personal information we collect when you visit our website or join an FFW membership or program, how we use and share it, and the choices and rights you have. We have tried to write it in plain English. If you have any questions, email us at info@ffwteam.org.

THE SHORT VERSION
Who we are: The Financial Wellness Group LLC (“FWG”) runs this website and the membership platform and sells memberships. The Foundation for Financial Wellness (“FFW”), a 501(c)(3) nonprofit, provides the educational program content.
What we collect: Your contact and account details, your Personal Financial Assessment (PFA) answers and other financial information you choose to share, counseling notes, your course progress, and website usage data. Card payments are handled by Stripe; we never store your full card number.
What we don’t do: We do not sell your personal data. We do not share your individual PFA answers or counseling information with your employer.
Your choices: You can ask to see, correct, delete, or get a copy of your data, and you can unsubscribe from marketing emails at any time. Email info@ffwteam.org.

1. Who we are

1.1 The Financial Wellness Group LLC (“FWG,” “we,” “us,” or “our”) owns and operates the website at foundationforfinancialwellness.org (the “Website”) and the FFW membership learning platform (the “Platform”), sells FFW memberships and programs, and receives payments for them. FWG is responsible for the personal information described in this Privacy Policy. This matches our website Terms of Service, which state that the Website is owned and operated by The Financial Wellness Group LLC.

1.2 The Foundation for Financial Wellness (“FFW” or the “Foundation”), a Colorado nonprofit organization recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, provides the educational program content used in our memberships and programs.

1.3 Our contact details are in Section 18.

2. What this policy covers

2.1 This policy applies to personal information we collect through:

  • the Website;
  • the Platform and the FFW Individual Premium Membership and other FFW programs (such as the CFWP certification program);
  • the Personal Financial Assessment (PFA) and 1:1 counseling;
  • our emails, newsletters, webinars, and live events; and
  • employer and partner programs that offer FFW services to their employees or members (see Section 7).

2.2 This policy does not cover third-party websites or services that we link to. Those have their own privacy policies.

3. Information we collect

3.1 Contact and account information you give us, such as your name, email address, phone number, mailing address, username and password, the plan you bought, and, if you join through an employer or partner, the name of that organization.

3.2 PFA responses and financial information you share. When you complete the Personal Financial Assessment or use other tools on the Platform, you may share information about your finances, such as income, expenses, savings, debts, credit, insurance, retirement planning, financial goals, and how you feel about your finances. You choose what to share.

3.3 Counseling notes. If you take part in 1:1 counseling, your counselor may keep notes about your sessions, including the topics discussed, goals you set, and any follow-up. These notes help us give you continuity from session to session.

3.4 Course progress and Platform activity. Our courses are delivered on the LightSpeed VT learning platform. It records information such as which courses and videos you start and complete, quiz or assessment results, certificates earned, and when you log in.

3.5 Payment information. Payments are processed by Stripe. When you pay, you enter your card details directly with Stripe. FWG does not receive or store your full card number. We receive limited information from Stripe, such as your name, billing address, the last four digits and expiration date of your card, card type, and your payment history (for example, whether a payment succeeded or failed).

3.6 Communications. If you email us, call us, fill out a contact form, register for an event, or take part in a live event, we keep a record of that communication and any information you give us. Live events may be recorded, as described in our membership terms.

3.7 Usage, cookie, and analytics data collected automatically. When you use the Website or Platform, we and our service providers automatically collect information such as your IP address, browser and device type, operating system, pages you visit, links you click, the date, time, and length of your visit, and the website that referred you. We collect this using cookies, pixels, and similar technologies, including:

  • Google Analytics, to understand how visitors use the Website; and
  • HubSpot, which we use for our website forms, contact records, and marketing analytics, and which uses cookies to track visits to our Website and connect them to your contact record if you have given us your email address.

3.8 Email engagement data. We send email through Brevo (and some email through HubSpot). These services tell us whether an email was delivered, opened, or clicked, and whether you unsubscribed.

3.9 Information from employers and partners. If you join through an employer or partner program, the organization may give us basic information so we can confirm your eligibility and set up your account, such as your name, work email, and employee or member ID.

3.10 Sensitive information. We do not ask for Social Security numbers, bank or investment account numbers, or account passwords, and we ask that you not share them with us. Financial information is not “sensitive data” under the Colorado Privacy Act, but we treat your PFA and counseling information as confidential. If you choose to share sensitive information, such as information about your health, in counseling, we will use it only to provide counseling to you.

4. How we use your information

We use personal information to:

  • provide the Membership and our programs: create and manage your account, give you access to courses on the Platform, deliver the PFA and your results, schedule and provide 1:1 counseling, and run live events;
  • process payments: charge your card, send receipts and renewal reminders, handle failed payments, refunds, and cancellations, and keep financial records;
  • communicate with you: send service messages about your account and Membership, respond to your questions, and send our newsletter and other updates (see Section 13 to opt out of marketing);
  • improve our programs: understand how members use the Website and Platform, which content is helpful, and how to improve our courses and counseling, including through aggregated and de-identified analysis;
  • report to employers and partners, only in aggregate or de-identified form (see Section 7);
  • keep things safe and secure: prevent fraud, account sharing, and misuse, and protect our members, staff, and systems; and
  • meet legal obligations: comply with law, enforce our terms, and resolve disputes.

We do not use your personal information to make decisions about you that produce legal or similarly significant effects (for example, about credit, employment, or insurance).

5. How we share your information

5.1 Service providers (processors). We share personal information with companies that help us run our business. They may use it only to provide services to us, under contracts that require them to protect it. Our main service providers are:

5.2 The Foundation. We may share information with the Foundation for Financial Wellness as needed to deliver and improve the educational program, subject to this Privacy Policy.

5.3 Legal reasons. We may disclose information if we believe in good faith that it is required by law, subpoena, or court order, or that it is needed to protect the rights, property, or safety of FWG, the Foundation, our members, or the public, or to investigate fraud or misuse.

5.4 Business transfers. If FWG is involved in a merger, acquisition, reorganization, or sale of assets, personal information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5.5 With your consent. We may share information for other purposes if you ask us to or agree to it.

6. We do not sell your personal data

We do not sell your personal data to anyone, and we do not share it with third parties for their own marketing. We do not use your personal data for targeted advertising (ads shown to you on other websites based on your activity across sites).

7. Employer and partner programs

7.1 Some employers and partner organizations offer FFW programs to their employees or members.

7.2 We do not share your individual PFA responses, counseling notes, or other personal financial information with your employer or the partner organization. We may share reports with them only in aggregate or de-identified form (for example, “62% of participants completed the PFA” or average scores across a group) that does not identify you. We may also tell them basic participation information, such as whether you enrolled.

7.3 If you would like a counselor to share specific information with your employer (for example, to coordinate a benefit), we will do so only with your express permission.

8. Cookies and analytics choices

8.1 You can set your browser to refuse cookies or to alert you when cookies are being sent. If you do, some parts of the Website or Platform may not work properly.

8.2 You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on (https://tools.google.com/dlpage/gaoptout).

8.3 We honor recognized universal opt-out signals, such as Global Privacy Control, as required by Colorado law.

9. Children’s privacy

The Website and our programs are intended for adults. You must be at least 18 years old to buy a Membership. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us at info@ffwteam.org and we will delete it.

10. Your Colorado privacy rights

10.1 If you are a Colorado resident, the Colorado Privacy Act gives you the right to:

  • access the personal data we hold about you and confirm whether we process it;
  • correct inaccurate personal data;
  • delete your personal data;
  • get a copy of your personal data in a portable, usable format; and
  • opt out of the sale of your personal data, targeted advertising, and profiling that produces legal or similarly significant effects. (We do not do any of these, as explained in Sections 4 and 6.)

10.2 We offer these rights to all of our members and website visitors, wherever they live.

10.3 How to make a request. Email info@ffwteam.org with the subject line “Privacy Request,” tell us which right you want to use, and send it from the email address on your account if you have one. You can also call us at 1 (855) 672-9051. You may also update much of your account information yourself by signing in to your account.

10.4 Verification. To protect your information, we will need to confirm your identity before acting on your request, usually by confirming details we already have about you. You may use an authorized agent to make a request on your behalf; we may ask for proof that the agent is authorized.

10.5 Our response. We will respond within 45 days. If we need more time, we may extend this by another 45 days and will tell you why. We do not charge for requests, except that, as Colorado law allows, we may charge a reasonable fee for a second request for a copy of your data within 12 months. We may keep some information when the law allows or requires it, such as payment records we need for tax and accounting purposes, and we will tell you if that applies.

10.6 Appeals. If we decline your request, you can appeal by replying to our decision or emailing info@ffwteam.org with the subject line “Privacy Appeal.” We will respond to your appeal within 45 days. If you are not satisfied with the result, you may contact the Colorado Attorney General at https://coag.gov.

10.7 We will not treat you differently or charge you a different price for using your privacy rights.

11. How long we keep your information

We keep personal information only as long as we need it for the purposes in this policy, including to meet legal, tax, and accounting requirements and to resolve disputes. As a general guide:

  • Account, PFA, course progress, and counseling information: while your Membership is active and for 2 years after it ends, so you can rejoin and pick up where you left off, unless you ask us to delete it sooner;
  • Payment and transaction records: for 7 years after the transaction, for tax and accounting purposes;
  • Marketing contact records: until you unsubscribe or ask us to delete them, after which we keep only what we need to honor your opt-out; and
  • Website analytics data: for the period set in Google Analytics and HubSpot.

When we no longer need information, we delete it or de-identify it.

12. How we protect your information

12.1 We use reasonable administrative, technical, and physical safeguards to protect personal information. These include encrypted (HTTPS) connections, access controls that limit PFA and counseling information to staff and counselors who need it, and using established service providers such as Stripe for card payments.

12.2 No method of transmitting or storing information online is completely secure, so we cannot guarantee absolute security. If we learn of a security breach affecting your personal information, we will notify you as required by law.

12.3 Please keep your password confidential and tell us right away at info@ffwteam.org if you think your account has been used without your permission.

13. Marketing emails and how to opt out

13.1 We may send you our newsletter and information about FFW programs, events, and offers. You can unsubscribe at any time by clicking the unsubscribe link in any marketing email or by emailing info@ffwteam.org.

13.2 If you unsubscribe from marketing emails, we will still send you service messages about your account and Membership, such as receipts, renewal reminders, and payment notices.

14. Where your information is stored

FWG is based in Colorado, and our service providers store information in the United States and may store it in other countries. If you access the Website from outside the United States, your information will be transferred to and processed in the United States.

15. Links to other websites

The Website and Platform may link to other websites and services that we do not control. We are not responsible for their privacy practices. Please review their privacy policies.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and change the “Last updated” date. If we make material changes, we will tell you by email or by a prominent notice on the Website before the changes take effect.

17. How this policy relates to our terms

This Privacy Policy is part of our website Terms of Service and the FFW Individual Premium Membership Terms and Conditions.
